UbyPort: How to Get Web-Service Login Credentials (for Connecting Best Guest)

Why your regular UbyPort login isn’t enough

UbyPort supports three distinct ways to submit reports: filling in the web form by hand, a batch UNL file import, and the web service — a direct server-to-server connection, which is what Best Guest uses. The Operating Rules of the UbyPort Internet Application (issued by the Foreign Police Service Directorate) are explicit about this:

“Separate login credentials are required to use the web service. Each accommodation facility requires its own credentials.”

The same document also shows that the two kinds of usernames follow different formats, so you can tell them apart at a glance:

• web-form usernames look like ub1234567,
• web-service usernames look like uby-ws12cdef.

If you enter your ubyport.pcr.cz website login into Best Guest, the connection won’t work — Best Guest tests those credentials against the web service every time you save them, and will show you an error immediately if they’re wrong.

What to do, depending on your situation

Your accommodation isn’t registered with UbyPort yet

1. Open the ubyport.pcr.cz/UbyPort portal and click “Žádost o registraci nového ubytovacího zařízení” (Request registration of a new accommodation facility) at the top.
2. Fill in the basic facility information (name, RÚIAN-verified address, apartment number if relevant) and the accommodation provider’s contact details.
3. In the “Ostatní informace” (Other information) section, under “Počet požadovaných údajů” (Number of accounts requested), select “Účet pro ubytovatele + 1x Účet pro robotické zasílání dat” (Account for the provider + 1x account for automated/robotic data submission) — this is what requests a web-service account.
4. Once selected, the form reveals two more required fields — “Používaná aplikace – název aplikace” (Software used – application name) and ”– tvůrce programu” (– producer). Enter:
   • Application name: Best Guest
   • Producer: Hotel Analytics s.r.o.
5. Click “Vygenerovat žádost do dokumentu PDF” (Generate the request as a PDF) and download it.
6. Send the generated request to the Foreign Police Service Directorate through one of these channels:
   • data box (datová schránka): ybndqw9,
   • email with a certified electronic signature to reguby@pcr.cz,
   • post, to Ředitelství služby cizinecké policie, Olšanská 2, 130 51 Praha 3,
   • in person, at the same address (entrance A).

Your accommodation is already registered, but you don’t have web-service credentials

Per the Operating Rules (§5.15), submit a free-form written request through the same channels listed above. Include:

• your facility’s IDUB and Zkratka (short code),
• the facility’s name and address,
• your contact details,
• the request itself — that you’re requesting UbyPort web-service credentials, for the application Best Guest (Hotel Analytics s.r.o.).

What you’ll receive, and how long it takes

The Foreign Police Service Directorate processes the request and sends back a “Protokol o zřízení přihlašovacích údajů” (credential-issuance protocol) — by email or data box, depending on what you gave as your contact. The typical turnaround is 1–3 business days, with a legal maximum of 30 days from submission. The protocol contains a username in the uby-ws… format and a password — those are exactly the two values you’ll enter into Best Guest.

Where to find your IDUB and Zkratka

You receive both identifiers together with your credentials when the facility is registered:

• IDUB (facility identifier) — a 12-to-14-digit number tied to the specific provider and address.
• Zkratka (short code) — five letters, used as a shorthand identifier when communicating with the police.

If you don’t have them handy, you can also find both inside the UbyPort application after logging in, on the “Import dat (UNL soubor)” screen for the selected facility.

Entering your credentials into Best Guest

Once you have your web-service username (uby-ws…) and password, together with your IDUB, enter them in Best Guest under Automations → UbyPort (or directly during onboarding). Best Guest tests them against UbyPort the moment you save — if the test fails, you’ll see a specific error message and nothing is saved, so you know right away that something needs fixing.
