Smoobu unifies communication across your channels, so you can set up registration once. Best Guest connects in two ways:

  • Automated messages — Smoobu automated guest messages deliver your registration link.
  • iCal sync — Best Guest imports every reservation Smoobu manages.

Estimated setup time: 5–10 minutes.

Before you start

  • An active Smoobu account with at least one connected booking source
  • A Best Guest account
  • Your Best Guest registration link, e.g.

(Use your real link. ?channel=smoobu records the reservation origin.)

Using the right link: every listing — each apartment, room, tent, RV, or whatever counts as your smallest bookable unit — has its own unique registration link. If you manage more than one listing, double-check you’re copying the correct one. Find all your links in Best Guest under Properties → [property] → Listings → Copy listing link, or grab them during the Listings step of onboarding.

Path 1 — Automated message

  1. Go to Experience → Communication.
  2. Create → Create from scratch, name it “Best Guest Registration”.
  3. Recipient Guest, assign to All properties / All portals to start.
  4. Enable Send automatically, trigger Arrival, timing 2 days before arrival, send time e.g. 10:00 local.
  5. Turn on Send email even if trigger is in the past so last-minute bookings still receive it.
  6. Add the template (Smoobu supports dynamic placeholders and multilingual templates).

Best Guest automatically reminds the main guest if they started registration but haven’t finished it. If a guest never opens the form at all, though, that reminder can’t reach them — so it’s worth scheduling a second automated message, timed 1 day after arrival instead of before it, using only the link:

Path 2 — iCal sync

To import Smoobu reservations into Best Guest’s Reservation Verification, copy the property’s iCal / calendar export link from Smoobu and paste it into Best Guest.

  • Booking confirmed → confirmation only
  • 72–48h before arrival → registration link
  • 24h before arrival → access instructions
  • Check-in day → welcome message
  • 1 day after arrival → reminder for guests who haven’t completed registration

Troubleshooting

Registration never sends — check the template is enabled, automatic sending is on, the trigger timing, and property assignment.

Duplicate messages — if OTA messaging and Smoobu messaging both run, pick one primary layer.

Reservation missing in Best Guest — verify the URL and ?channel=smoobu.
